Print From Home Requirements

 

Printing From Home Policy and Acknowledgement

 

 Purpose: To provide guidance on Printing at home for Work from Home users.  

 All TSTC employees that are working from home must ensure data security of sensitive information and abide by the policies and procedures for records retention in accordance to S.O.S. GA 1.5.1, S.O.S. GA 1.5.2, S.O.S. GA 1.5.3, and S.O.S GA 1.5.5.

 The user will be required to purchase a scanner and a shredder along with the printer to be able to print at home.

If a user is printing at home the following must be in place.

1.    The user must receive supervisor approval before purchasing a printer, scanner, and shredder.

2.    Documents must be stored in a secure location such as a locked room, or a locking file cabinet when not in use.

3.    Printed documents that have been and modified by adding hand written notes or edits scanned and uploaded as part of the records retention policy and procedures since this is now a new document and must be kept in accordance to the TSTC records retention policy.

4.   Documents that contain personal identifiable information or PII, Sensitive personal information or SPI, and or information that is protected under FERPA or HIPPA laws must be destroyed after they have been printed and uploaded if any notes were made on the document. Destruction of the document should be done in accordance to the records retention policies.

5.    A signed form stating that the user has read and understands these policies will need to be completed.

6. Printers used for work from home must be only used for at home use. If the user returns to campus, the printer must be relinquished to OIT.
