Introduction

This Acceptable Use Policy (AUP) outlines the guidelines and rules governing the use of LanSchool software at Texas State Technical College across all campus locations. LanSchool is used to enhance the educational and administrative functions of the institution. It is crucial to ensure that all users understand their responsibilities and adhere to these guidelines. Additionally, this policy specifies the use of LanSchool by the Office of Information Technology (IT) for remote support, as well as the protection of privacy and data.

Scope

This AUP applies to all faculty, staff, students, and authorized individuals who use LanSchool at Texas State Technical College, regardless of the campus location.

User Responsibilities

Compliance with Laws and Regulations: Users must adhere to all local, state, and federal laws and regulations, as well as Texas State Technical College policies and guidelines while using LanSchool.

Respect for Privacy: Users are expected to respect the privacy of others and may not use LanSchool for unauthorized monitoring or intrusive purposes. Instructors may use LanSchool to view classroom computers while teaching as long as they have informed their class that the software is on the machines and that they are monitoring what the students are doing on the machines. 

Educational and Administrative Use: LanSchool is primarily intended for educational and administrative purposes. Users should not engage in activities unrelated to the institution's mission, including but not limited to gaming or accessing inappropriate content.

Data Protection: Users must take all necessary precautions to protect sensitive and confidential information. Sharing, disclosing, or accessing sensitive information without proper authorization is strictly prohibited.

Unauthorized Access: Users may not attempt to gain unauthorized access to computers or networks, including using LanSchool, for malicious purposes or cyberattacks.

Configuration settings

LanSchool must be configured using Secure Mode. This will allow only the authorized users to access student computers. 

Remote Support by the Office of Information Technology

Authorized Access: The Office of IT is authorized to use LanSchool for remote access to computers for support purposes only. IT personnel must obtain proper authorization from the user or the instructor before initiating a remote support session to perform support. If OIT remotes into a machine and a student is working on that machine, OIT will immediately terminate the session and return to perform the work at another time when the machine is not in use.  

Privacy and Consent: The Office of IT must respect user privacy and request explicit consent before accessing a user's computer remotely. Consent can be obtained through various communication methods such as but not limited to, email, phone calls, in-person discussions, chat, and OIT tickets.

Data Handling: While providing remote support, the Office of IT should take all necessary steps to protect the user's data and privacy. They are required to follow data protection and handling guidelines established by Texas State Technical College in SOS GA 5.1.6 and adhere to the Texas State Technical College’s Acceptable Use of Information Technology Resources in SOS GA 5.1.4.

Secure Connections: IT personnel should use secure, encrypted connections for remote support sessions to prevent unauthorized access or data breaches.

Privacy and Data Protection

Data Security: Data collected through LanSchool will be stored securely, and access will be restricted to authorized personnel only. Data will not be used for any purpose other than those specified in Texas State Technical College's policies.

Enforcement

Violations of this AUP may result in disciplinary actions as outlined in SOS GA 5.1.4. 

Review and Revision

This AUP will be reviewed periodically and may be revised to accommodate changes in technology, legal requirements, or Texas State Technical College policies.
