As we continue to refine our statewide processes and look for opportunities to better utilize TSTC’s available resources, Procurement and the Office of Information Technology (OIT) have collaborated to develop a statewide procedure for expanding the use of group printing devices. The goal of this strategic approach to printing requests is to reduce the use of local desktop printers in favor of a group printer approach by utilizing Multi-Function Devices (MFDs) and network printers. Group printing is well-known to be the best approach for high quality print jobs at an affordable cost. Spending less on inefficient printing allows us to focus more resources on our core business: Placing More Texans.
Below are just some of the many benefits of using MFDs:
● Extra functions and convenience – include a variety of functions that regular printers do not provide, such as: scanning, duplexing, stapling, hole-punching, collating, faxing, etc. Thus, resulting in time saved by conveniently performing multiple functions on one machine.
● Confidentiality of information – provide ability to send documents to a print queue knowing that they will be kept securely until the user is at the machine and is ready to print.
● Cost savings –
○ cost less to run and maintain than smaller printers.
○ all toner, staples, parts, and maintenance are included in the cost. No need to stock up on toner or ink cartridges for different printer models.
○ replacing multiple devices with one unit equates to enormous cost savings for support, repair, and replacement costs.
● Environmentally friendly – are more energy efficient and allow for double-sided printing, which reduces paper consumption.
● Space saving capability – consolidating office equipment into one machine takes up less space. This benefit is particularly advantageous for small office areas.
● Device management - available software allows for remote management and reporting.
